OCTOVO recognises an enquiry from the contact form by sender or content, checks whether the details you need are missing, and writes a short question back about budget, timeframe and location — as a reply in the thread, in your tone. For new contacts the draft always waits for your yes; for known customers it can go directly if you wish.

An enquiry through the form. No budget, no date, no location .
“Hello, we would like a patio. What does it cost?” That is all it says. You know: whoever replies within the hour is more likely to get the job — but you are up a ladder, and the reply needs three questions you have written a hundred times.
What you say
When an enquiry comes in through the contact form, ask politely for budget, timeframe and location — and put a callback in my calendar.
Typed or spoken — in the app or from your phone.
Dein Browser fragt gerade bei unserem Server nach. Die Antwort kommt denselben Weg zurück.
- Trigger
- New email from the form address — immediately, not in the daily overview.
- Arms
- Mailbox, contacts, calendar.
- Approval
- Always for new contacts. For known customers directly, if you wish.
- What leaves your device
- The enquiry as an excerpt to the language model. The question back only after your yes.
Re-enacted
What does OCTOVO do when an enquiry arrives without details?
It reads the email, sorts it as “needs a reply”, checks the address book for whether the sender is known, and writes the question back about the three missing details — as a reply in the thread, without naming prices you haven’t named. It enters the callback once the question is out.
Every line in the conversation is a tool that really exists in the app. The names are invented.
„When an enquiry comes in through the contact form, ask politely for budget, timeframe and location — and put a callback in my calendar.“
- Read the enquiry from form@ · “patio, approx. 40 m²” done
- Sorted: needs a reply budget, date, location missing done
- Checked the address book the Weber family · new contact done
- Wrote the question back budget · timeframe · location done
- New contact — always approval waiting for you waiting for you
The question back is ready. The Weber family is new, so you see it first. I enter the callback for Thursday 16:00 as soon as it is out.
Afterwards
What do you see afterwards?
-
The draft
Three questions in four sentences, no price, in the thread of the enquiry. Below it: “Why like this: new contact, formal, no details on scope or date — so a question back instead of a quote.”
-
The callback
After your approval, “Callback Weber family, patio” sits in your calendar — 15 minutes, in a gap in your working hours.
-
The counter
In the list: “Answer enquiries · trigger: new email from form@ · 14 times in 30 days”. Every run has a log entry with the wording.
With you
What stays with you — and where is the limit?
Stays on your device
- The enquiry itself: in the mailbox on your device, like any other email.
- The new contact: after your yes the Weber family is in the address book on the device — with form of address, role and the date of first contact.
- Your key details — what you ask, what you never write — as sentences in the profile and the memory.
Where the limit is
-
It names no prices you haven’t named and promises no date you don’t have. Whatever is missing from the sentence, it asks you — with a choice to click.
-
Suspicious enquiries — forged senders, extortion, spam — it does not answer; it flags them and warns. The suspicion comes from the model on the device.
-
At most 20 recipients per message, 50 outgoing messages per hour. If it is unsure who is meant, the draft goes to approval — even on autopilot.
Asked
Questions about this case
Does the enquiry have to come from a specific address?
No. You name the trigger — a sender address, a subject line or simply “enquiries”. It also recognises matching emails by content and checks the condition you set, such as “without specific requirements”.
What if the enquiry already contains everything?
Then the question back does not apply — the condition was “without details”. It presents the enquiry to you as “important”, with key facts from the text, so you write the quote yourself or ask it to.
Does it also reply to spam that looks like an enquiry?
No. When reading mail in, the model on the device estimates whether an email is advertising or spam; anything suspicious it sets aside and flags. Forged senders and extortion emails it does not answer — it warns you.
