The supplier has changed the price for the steel beams; last week’s quote is no longer right. Really you would have to go back to the office, open the document, change the figure, save it as a PDF, write an email. Mr Bauer said he would decide today.

    The old version is not gone, it is a version. Whatever it clears away sits in the trash for 30 days, which it cannot empty.

What stays with you — and where is the limit?

Stays on your device

  • The file: in the folder it always sat in — just with a new figure. Earlier states sit encrypted next to the database.
  • Who Mr Bauer is and how you address him: in the address book and memory on the device.
  • The log: “file read, rewritten, version saved, draft presented” — with a timestamp.

Where the limit is

  1. Templates: if Word is installed on your Mac, it lets Word save the document, and letterhead, font and header stay intact. Otherwise it writes the file itself — and tells you that formatting may be lost in the process.

  2. It does not invent the figure: 4,200 comes from you. If item 3 does not say 3,900, it changes nothing and asks.

  3. It reads PDFs — including scanned ones — but does not rewrite them. It sends a quote as a PDF if you have filed it as a PDF.

Questions about this case

Does my letterhead stay intact?

On a Mac with Word installed: yes — Word creates the document itself and saves it with its templates. If Word is missing or not responding, OCTOVO writes the file itself, says so, and the previous state stays as a version.

Can I undo the change?

Any time. In the “Files” area every earlier state is listed with time and trigger; “Restore this state” brings it back. The trash keeps things for 30 days, and OCTOVO cannot empty it.

Does this work with Excel and PDF too?

It writes Excel workbooks as real .xlsx files without Excel having to be installed; the previous state is saved there too. PDFs it reads in full — scanned ones via text recognition — and answers questions about them; it does not rewrite a PDF.
