OCTOVO

OCTOVO searches the working hours of the next 14 days for free slots of the requested length, taking existing appointments, quiet hours and the estimated travel time to the appointments before and after into account, and shows the first three matches by default. It books the slot only once you have picked one.

Use cases · Wednesday, 9:03

Wednesday, just after nine. A new customer wants an appointment next week — right now, on the phone.

You still have the phone to your ear, the customer names a duration and asks what is free this week or next. You would now have to open the calendar, skim several days and remember the drive to the previous appointment — while she waits.

What you say

Ms Adler needs 45 minutes next week — what do I have free?

Typed or spoken — in the app or from your phone.

None for searching. For booking it depends on your autonomy level: at “always ask” yes, otherwise on its own.
What leaves your device
The free slots found and the requested duration as an excerpt to the language model — not the whole calendar.

„Ms Adler needs 45 minutes next week — what do I have free?“

  1. Searched the next 14 days 45 minutes requested done
  2. Travel time included Workshop → customer address done
  3. Found three slots Tue 10 a.m. · Wed 2 p.m. · Thu 9 a.m. done
  4. Contact created Ms Adler · new done
  5. Booking waits for you after your choice waiting for you

Three free slots are ready. Tue 10 a.m., Wed 2 p.m. or Thu 9 a.m. — with travel time from the workshop already included. Tell me which one fits, and I’ll book it with Ms Adler as the contact.

Afterwards

What do you see afterwards?

  1. The three suggestions

Date, time and the estimated travel time before it — clearly marked as an estimate, never as a route.

  2. The appointment itself

It is booked with a title and contact, on request with an invitation to a named email address — never a guessed one.

  3. The 14-day limit

If it finds nothing in this window, that means “not in these 14 days” — never “not free anywhere”. You decide whether it should keep looking.

With you

What stays with you — and where is the limit?

Stays on your device

  • Your calendar: it is read and written directly from the device, through the account you connected.
  • The starting point for travel time — your work location from the profile, or a place you name just for this appointment.
  • The wording of every approval — sits in the log with a timestamp.

Where the limit is

  1. It searches at most 14 days ahead, and the list shows the first hits, never the full picture of a day.

  2. Travel time is always an estimate — straight-line distance times a detour factor, calculated on the device — and never a real route.

  3. Whether booking happens on its own or only after approval depends on your autonomy level, not on this one conversation.

Asked

Questions about this case

How many suggestions does it show?

Three by default — more on request. They are always the FIRST hits within working hours, never the full picture of a day.

Where does the travel time come from?

From a local estimate on the device: straight-line distance between postcodes times a detour factor — no request to a map service, so no real route either.

Does it book the appointment as soon as it finds a time?

No. The search itself needs no approval — booking is a separate step that, per the level table, needs your confirmation at the most cautious level and runs on its own at the other two.
